An Introduction to Our New Webmail Service

A New Webmail Experience

If you think you are ready for a new webmail interface, try our new webmail client, Roundcube.  Although it is still in beta, we would love to show you around.  Here is a quick introduction to some of the basic features of the new webmail. In this article you will learn how to access the new webmail and how you can accomplish many of the things you are accustomed to doing in previous versions.

You can access the new webmail by visiting webmail.his.io. Once there, you will simply log in with your email address and password, just like you did in the old webmail.

Viewing Emails

The interface you are presented with is somewhat similar to the old one. Many of the common email functions such as reply, forward, etc are listed across the top, then on the left is a listing of your folders, and in the center is a list of the messages in the currently selected folder. You can see a count of the unread messages in each folder next to the folder name. Unread messages are bolded and also have a star next to them.

The main screen of the new webmail - unread messages are indicated with a folder label and star

You will also notice that you now have a preview at the bottom of the screen of the currently selected email. If you want to read the message outside the preview window you can either double-click the message in the list or you can click the new-window icon in the top right of the preview window.

The "Open in new window" button - opens the email in a new tab or window

The only difference between the two methods is that double-clicking will open the message in the current window and clicking the button in the preview window will open a new tab or window. The message details screen will look like the following:

Forwarding and Replying to Emails

From the main email listing screen you will find two ways to forward an email or reply to one. The first way is to use the buttons in the top menu bar.

The other way is to use the buttons in the top right corner of the message preview window:

Sorting Your Emails

If you would like to change the order in which the emails are displayed in your inbox (or any folder) you can sort them by clicking the top labels of the columns.

Clickable column headers - allow you to sort messages

Clicking the same header multiple times will change between sorting ascending and descending.

If you would like to change the columns that are visible you can do so by clicking the cog icon in the far left of the column headers.

Column Settings Button

Clicking this button will open a new pop-up window that will allow you to choose which columns should be displayed and how they should be sorted by default.

Organizing Your Email

The new webmail system makes it very easy to organize your email by creating folders and moving messages between folders using drag-and-drop.

Creating a New Folder

If you would like to create a new folder, first click the cog icon in the lower left hand corner of the screen, then choose "Manage Folders."

Manage folders button

This will bring you to a new window that will show all of your current folders and allow you to create, delete, rename, and move folders.

To create a new folder you just need to click the large plus icon at the bottom of the screen. This will open a new panel on the right side of the screen where you can enter the folder details. When you are done just click the "Save" button.

After clicking save you will see a green message at the bottom of the screen alerting you that the folder was created successfully. You can now click the "Mail" button at the top of the screen to return to your inbox.

Moving Messages to a New Folder

Now if you would like to move messages into the new folder you created you can do so by simply clicking the email you wish to move and dragging it to the folder.

Moving or Deleting Multiple Messages

Another common task is selecting multiple emails at once. This can be accomplished in the new webmail a couple of different ways. The first way is to use the "Select" dropdown at the bottom of the email list window.

Using the "select" dropdown to select all emails

This dropdown will allow you to select all emails, the current page of emails, unread, or flagged emails. If you need more control over which messages are selected you will need to use the alternate method which is using the CTRL and Shift keys.

You can select emails one at a time by holding the CTRL key and clicking the messages you want to select. If you want to select a group of messages at once you can click the top one, then hold the shift key and click the last message you want selected and all the messages in between will also be selected.

Multiple selected messages will look like the following:

Selecting multiple messages at a time allows you to do a couple different things. First you could delete all the messages that are selected by clicking the "Delete" button at the top. You could also drag and drop all of the selected messages into a folder.

Deleting a Folder

If at any point you would like to delete a folder you can easily do so by first returning to the folder management screen:

Accessing the folder management screen

Once you're on the folder management screen you simply need to click the folder you wish to delete, then click the cog icon at the bottom of the screen and choose "Delete".

Deleting the "Important" folder

You will want to be careful when deleting folders because deleting the folder will cause all messages inside it to also be deleted.
